Tasksยท Platform

Work that routes itself

When a call, note, message, or form needs follow-up, Ultradoc makes it a task, routes it to the right person, and links everything behind it.

Close the follow-up task when the patient books?Ultradoc does that.

An animated rebuild of the Ultradoc tasks page. New tasks arrive from a phone call, a clinical note, a patient message, and a patient form, and each lands under the person or team its category routes to. When a nurse completes a task, it leaves the list and her inbox count drops.

Follow-ups from notes, calls, patient messages, forms, and appointment requests land in the same list, each linked back to where it started.

Activity

Ultradoc created this task from a clinical notetoday

Routing you set once

Each category carries a default role, department, and priority. New tasks land where the category says, unless someone picks an assignee by hand.

Each role sees its own work

Limit a role to the categories it handles. Tasks in other categories stay out of its queues and can't be opened by link, unless they're assigned to that role.

Every view and change to a task is recorded in the audit log.

Follow-ups that close themselves

A follow-up category can contact the patient until they book. When they book, the task completes and the reminders stop.

A follow-up task reminds the patient to book. After two messages the patient books a visit in the app, and the booking completes the task.

Tasks that wait their turn

Set a task to activate on discharge or on surgery completion. Until then it sits in Waiting on event, out of everyone's queue.

On your phone

The provider app tells you when a task is yours, and you can finish it from Home.

The Ultradoc provider app: a push notification says you have a new task, the task appears at the top of your inbox, and you mark it complete from your phone.

From staff chat

Type who needs to do what. Orpheus drafts the title, category, priority, and assignee for you to check, and nothing is created until you confirm.

In staff chat, a doctor asks for a call to an imaging center. A teammate types who needs to do what, Orpheus drafts the task with a title, category, priority, and assignee, and the task is created only after a person confirms it.

Details that keep work moving

The everyday parts of a task list, built for busy front desks and care teams.

Queues that sort themselves

My queue, Urgent, Needs decision, Unassigned, With patient, Waiting on event, and Recently completed are there from day one.

Group it your way

Group by patient, status, priority, assigned staff, or department, then sort by age or priority.

Age you can see

Each row's age warms from gray toward red the longer it waits, so the oldest work stands out without a report.

One search box

Find any task by patient, title, MRN, or task ID.

Decisions in one tap

Approve an appointment request or grant app access from the task or from your inbox. A second tap confirms.

See who's on it

Avatars on a row show who has the task open right now, so two people don't call the same patient.

AI-written, and labeled

When Orpheus writes a task's title and description from a patient's request, the task says so, and staff read it as a summary.

Texts that respect quiet hours

Staff can get a text when tasks are assigned to them, batched into one summary and held during quiet hours.

Visible before the visit

A category can show as an alert badge on encounter cards, so an open request is in view when the patient arrives.

Where it connects

Tasks start where patients reach you and end where the work gets done.

Tasks in every kind of practice

Cardiology

The after-hours call, already routed

At Lakeside Cardiology, a patient calls overnight about ankle swelling. By morning there's an urgent callback in the Nursing inbox, linked to the call, with a recheck queued for when it closes.

Orthopedics

The post-op call waits for surgery

Summit Orthopedics sets a two-day post-op call to activate on surgery completion. It sits in Waiting on event until the case is marked complete, then comes due on its own.

Pediatrics

A camp form, without the phone tag

A parent at Cedar Pediatrics asks in the app for an immunization record. The front desk gets a records task with the conversation one click away.

OB/GYN

A refill that says where it came from

At Harbor Women's Health, a patient sends a refill form from the app. The task names the medication, links the form, and is marked as written by AI.

Gastroenterology

Reschedules decided from the inbox

Bayview GI's front desk sees each reschedule request under Needs decision. Approving it from the inbox updates the request, and the task closes itself.

Hospitalist group

Calls that start at discharge

At Riverside Hospitalists, a note that says to call two days after discharge becomes a task that waits, dormant, until the patient is discharged. Then it comes due.
