Every message reaches the right desk.

Patients message your practice in the Ultradoc app. Orpheus reads each message, flags what's urgent, and routes it to the right care group, while your team settles it in staff chat.

Message…

A parent messages the Nurse line about a child's 103.4 fever. Orpheus marks the message urgent, flags it for the Nurse care group, creates a task, and tells the family the care team was notified. In staff chat the doctor asks the nurse to call, and the nurse replies to the family in the thread.

Message Dr. Ruiz's office…

If this is an emergency, call 911. Otherwise, call Harbor Women's Health's office.

The conversation lives in the app

The link opens Ultradoc, where Amina signs in and reads the message. Her answer lands in the same thread Nadia is working in.

That's great news, thank you. I work mornings, so afternoons are best for me.

Orpheus routes. Your team answers.

Orpheus reads every patient message, keeps the thread's summary, and turns requests into tasks. Turn on auto-triage and it also marks what's urgent and flags the right care group. It never writes free-form messages to patients.

What the text says. What the app shows.

A text only tells a patient that something is waiting. The message, the form, and anything about their care stay behind their sign-in to the Ultradoc app.

Message…

The details that keep it calm

Small rules that keep patients informed, staff in step, and nothing sitting unanswered.

Unanswered messages escalate

Choose how many business days a channel message can go unanswered. After that, it's flagged for the whole practice team and a task opens.

Family members, by name

Parents, guardians, and caregivers message for the people they look after, and every bubble says who wrote it and how they're related.

Orpheus asks before it guesses

When a message leaves Orpheus unsure, it puts a question to your team in the conversation details. Anyone working the inbox can answer it.

Billable work, drafted for review

Turn on billing capture and Orpheus drafts online-visit billing from your team's time in patient conversations. Drafts wait for review, and nothing is billed without staff approval.

At most one text a day

However many messages you send, a patient off the app gets at most one text a day about them, held for your texting hours.

STOP means stop

A patient who replies STOP gets no more texts, checked when a text is queued and again before it goes out. START turns texts back on.

A sender name that stays neutral

Every text opens with your practice's Text Message Name. Set a neutral one so a lock screen never announces the kind of care behind it.

Push alerts without the details

App notifications read “You have a new message.” The words, the sender, and the subject wait behind the patient's sign-in.

See who else is on it

Avatars show which colleagues have the same patient or team chat open, so two people don't answer the same family twice.

Where it connects

Updates from scheduling and forms arrive in the patient's thread. What Orpheus and your team decide there flows on to Tasks, the patient's chart, and the provider app.

Built for every kind of practice

The same inbox, set up for how each kind of practice talks with its patients.

Pediatrics

Parents write, and the thread says so

At Cedar Pediatrics, parents message for each child and every bubble names who wrote it. Reminders to a shared family phone name a child by first name, and leave a teenager's name out.

Cardiology

Swelling and breathlessness, flagged

A Lakeside Cardiology patient writes that their ankles are swelling. Orpheus marks it urgent, flags the nurse group, opens a task, and tells the patient the team knows.

Orthopedics

A closed office, one notice

A burst pipe closes Summit Orthopedics' north office for two days. The front desk notifies every patient with a visit there and sees which two to call.

Behavioral health

A lock screen that stays quiet

Brightwater Behavioral Health texts as “Brightwater Clinic,” so the texts that say a message is waiting don't announce the kind of care behind them.

Dermatology

Results, delivered privately

Elm Street Dermatology sends biopsy results as an app message. The text says only that a message is waiting; the result stays behind the patient's sign-in.

OB/GYN

An honest answer after hours

When Harbor Women's Health's nurse line is away, Orpheus replies with its away message, and the patient app points to the front desk for anything sooner.

Security

Private by design, on the record by default

Messaging runs on the same access controls and audit trail as the rest of Ultradoc.

How we protect patient data

Every message on the record

Patient messages, staff replies, and staff chat are written to the audit log with who sent what and when.

Threads only the right people see

Channel rosters and visibility settings decide who on staff can read a thread. Lists and previews never show a thread a viewer can't open.

Nothing clinical in a text

Texts and push notifications say only that something is waiting; a booking text adds the date and time. The SMS page logs every text Ultradoc sent, with its delivery status.

Works with the rest of Ultradoc

Every part of Ultradoc reads from the same live record, so each one makes the others better.

Whatever your practice needs, Ultradoc does that.

Tell us how your practice runs. We'll set Ultradoc up around it and connect it to the EHR you already use.
