Referralsยท Modules

Every referral, triaged and tracked

Referrals arrive by fax, by phone, or typed in by your team. Orpheus grades each one against your practice's rules, matches the chart, and puts it on one live board your whole team works from.

Grade every incoming referral against rules your practice writes?Ultradoc does that.

A referral fax lands

Orpheus reads the fax, recognizes the referral, and lifts out the patient, the referring provider, the insurance, the diagnoses, and what's being asked for. A filled-in card lands on the board.

Four ways in, one board

However a referral reaches your practice, it lands in the same place: filled in, graded, and ready to work.

Triage in your own words

Write your triage policy the way you'd explain it to a new hire. Orpheus reads every rule that's switched on each time it grades a referral, and the same list grades your faxes.

Severity rules

Plain-language policies the AI reads when it grades how urgent each incoming fax, referral and patient form is.

    Routine

Rules can raise a grade or lower one. Add them one at a time, paste a list, or import a spreadsheet. Staff can still set a different severity on any single referral.

New or existing, settled by history

Ultradoc checks visits here and in your EHR, encounters, and earlier referrals, then marks each referral New or Existing using the window your practice chooses.

New and existing patients

A referral is for an existing patient when the practice saw them within this long before it arrived: a checked-in visit here or in your EHR, an encounter, or an earlier referral.

How far back counts

Three years is how long a patient stays established for billing. An earlier referral counts when it arrived more than a month before, so a re-sent copy of the same referral never does.

When this is off, these referrals show Not in chart until a chart is linked or staff confirm the patient isn't in it.

Every call and note, in one place

Contact attempts, notes, tags, assignments, and stage moves land on one timeline, with who did what and when. Everyone working the referral sees the same story.

  • Log a call, text, fax, or email with how it went: reached, left a message, or no answer.
  • Changes made automatically, like the first severity grade, are labeled as such.
  • Filing, reply faxes, and duplicate decisions show up on the same timeline.

Loose ends, tied off

Resent faxes and referrals you can't take are where queues go wrong. Ultradoc handles both.

Sent twice, worked once

When the same referral arrives again, Ultradoc compares it with the patient's recent referrals, reading both documents when it needs to. A copy from the same fax number folds under the original on its own, and anything less clear-cut is flagged for one-click review.

This looks like a copy of another referral

Same patient, same requested service, and the same referring provider, sent again from the office's second fax line. The pages match the referral received Oct 9.

Duplicate referrals

What happens when the same referral arrives more than once.

  • AutomaticFile a repeat copy from the same fax number under the original on its own, and ask about anything less clear-cut.
  • Suggest onlyFlag a referral that looks like a repeat copy, and leave every decision to staff.
  • OffDo not look for repeat copies. Staff can still mark one referral as a duplicate of another by hand.

Declined, with a reply

Can't take a referral? Write the reason once. Ultradoc closes the referral and faxes a reply letter to the referring office, previewed exactly as it will be sent.

Built for the front desk

The details that keep a referral queue moving on a busy Monday.

Stages that fit your workflow

Start with New, Contacted, Scheduled, Completed, Declined, and Unable to Reach. Rename, recolor, reorder, add, or archive them, and choose where new referrals land.

Search and filters

Search every referral, then narrow by severity, source, tag, or new and existing patients. Sort most severe first, newest, or oldest.

Your own tags

Color-coded tags your practice defines, like Prior auth or Interpreter, on every card and in the filters.

Clear ownership

Assign a referral to anyone on the team. Drag cards between stages, or drop one on a closed stage to close it.

See who's on it

Avatars on a card show who has that referral open right now, so two people don't chase the same patient.

Filed to the chart

Each card shows whether its source document reached the patient's chart in your EHR. Close one that hasn't, and Ultradoc offers to file it.

Not a referral? Send it back

A fax read as a referral by mistake returns to the fax inbox in one click. The fax is kept, and nothing goes to the sender.

Closed, not lost

Closed referrals leave the board after a window you pick, from 12 hours to 30 days, and stay in the Closed view.

A quieter fax inbox

Keep referral faxes out of the fax inbox so they're worked on the board. Staff can still reveal them when they need to.

Where it connects

Referrals draw on the rest of Ultradoc as they arrive, and hand their work back as they close.

Every specialty's referral queue

The same board sorts a cardiology consult, a colonoscopy, and a changing mole by what each practice decides is urgent.

Cardiology

Chest pain goes first

Lakeside Cardiology grades chest pain with an abnormal stress test as Urgent. Those referrals sort to the top of New, and the front desk calls them before anything else.

Gastroenterology

One colonoscopy, not two

When an office faxes the same colonoscopy referral to Bayview GI twice, the copy arrives marked Possible duplicate and folds under the one already being scheduled.

Orthopedics

New injuries stay ahead

Summit Orthopedics grades long-standing joint pain that's already been imaged as Routine, so fractures and fresh injuries keep their place at the top of the queue.

Dermatology

Calls that file themselves

A primary care office calls Elm Street Dermatology to refer a patient with a changing mole. The phone agent reads the referral back, files it, and the practice's mole rule grades it Elevated.

Pediatrics

New families, flagged

Cedar Pediatrics' specialty clinic sees each referral marked New or Existing from three years of visits, encounters, and earlier referrals, before anyone picks up the phone.

Women's health

A biopsy can't wait

Harbor Women's Health grades any imaging that recommends a biopsy as Urgent, so a BI-RADS 4 breast referral never sits behind routine consults.

Security

Every referral, accounted for

Referrals carry diagnoses, insurance, and phone numbers, so every touch leaves a record.

How Ultradoc protects patient data
  • Every view loggedOpening a referral, its source fax, or its call writes who saw it, and when, to the practice's audit log.
  • Every change recordedStage moves, severity changes, chart links, notes, and folds are kept with the person who made them.
  • Access by roleRoles decide who can see referrals and who can work them.
  • Replies that say only what they mustDecline letters carry only the referral's own details, never an internal chart number, and show exactly where they're going before they're sent.

Works with the rest of Ultradoc

Every part of Ultradoc reads from the same live record, so each one makes the others better.

Whatever your practice needs, Ultradoc does that.

Tell us how your practice runs. We'll set Ultradoc up around it and connect it to the EHR you already use.
